Sign up reminder and information for Fox Mill Estates meet

Hello Hiddenbrook!

On Monday July 8 we will be swimming at Fox Mill Estates Swim and Tennis Club, 2720 Viking Dr, Herndon, VA 20171

If you do not have a swimmer in Monday’s meet you can ignore the rest of this email.

Sign ups: You must have your entries in by 11 PM tonight/Saturday. As reps and in agreement with the other teams we do NOT allow deck entries, we need to know what your swimmer is entered in by 11 PM this evening.

A REMINDER ON ENTRY POLICIES - If your swimmer was NOT in the A meet today then he/she may swim up to 2 strokes (free, back, breast, fly) as well as the IM. The entry system will allow you to select a third stroke, but this is not allowed and we will automatically cut your swimmer from the third event if we find a swimmer entered in three strokes.

If your swimmer swam two strokes in today’s A Meet, he/she may swim one of the other 2 strokes unofficially* and the IM, for a total of 2 events.

A swimmer who swam one stroke in today’s A Meet may swim one of the other strokes officially, another stroke unofficially*, and the IM, for a total of 3 events.

Please do not sign your child up for the IM unless he/she has legal times in all four strokes.

*Unofficial swim times count, all ‘unofficial’ means is that the swimmer will not receive a place ribbon.

If you sign up for a stroke that your swimmer is not allowed to swim based on the A meet we will do our best to contact you tomorrow morning. If we don’t hear back we will make adjustments ourselves because we need to merge entries with the other team. If you have any questions about what your child can swim, please email me or Dawn Jarvis and we can help clarify.

If you sign up and your child ends up not being able to swim on Monday, please reply to this email and let us know he/she is not coming.

Volunteers: If you have a child swimming please sign up to volunteer, we have a job for everyone. This is especially requested for families that did not work the A meet, as our volunteers today worked a very hot meet!

Per NVSL standards, all officials (timers, clerk of course, marshals, stroke and turn judges, referee, starter) should wear a white top and navy bottoms.

Arrival times: The meet begins at 6 PM, please have your swimmers arrive at 5 PM. We need swimmers ready to go for warm ups at 5:25 PM since we are the visiting team.

Officials: Officials (Ref, Starter, Stroke and Turn judges, Timers, Head Timer, Clerks of Course) should arrive on deck at no later than 5:20 for briefings.

Swim Marshals, please arrive no later than 5 PM, as all Marshals must be in place prior to our team warm-up.

Parking: Fox Mill Estates has a lot, but if you need to park on the street please do NOT block driveways or mailboxes, as you will be ticketed or towed.

Meet theme: Our B meets each have a theme, this week will be ‘Harry Potter’.

Team Areas: Hiddenbrook’s team area is in the Fox Mill Estates baby pool area.

1.Bring foldable chairs.

2.Please bring goggles, sunscreen, swim cap, towel, bathing suit, lots of water, snacks, enthusiasm, and the other normal necessities of a meet. It’s often helpful to have an extra towel and a sweatshirt as well. Bug spray may be helpful given the time of day.

Please make sure your swimmer returns to the team area after each event until he/she has no more events to swim. It is really difficult when we can’t find a swimmer and are trying to line up heats. If your swimmer has a break between events it is totally fine to use the restroom, visit concessions, etc. but the team area is where swimmers belong during the meet. We understand that younger swimmers may need to leave the meet early to get home for bed, but otherwise all swimmers are welcome to stay and cheer their friends on once they are finished swimming. Make sure your child picks up any garbage in his/her area before leaving the meet.

Other items to note:

1.We provide complimentary water to all meet officials (timers, stroke and turns, ref, starter, marshals, team reps, clerk of course, announcer, etc.)

2.Any weather delays and messages will be communicated via swimtopia alerts.

FME has concessions and asks you to come hungry.

Quick note – FME is holding their ‘running of the cubs’ event immediately before the meet starts. This is their youngest swimmers going across the pool for a treat. It shouldn’t impact the timing, please help cheer these swimmers on.

Looking forward to seeing everyone on Monday!

-Sandy and Dawn, B meet reps
